Asia Non-Commercial Customer Service Specialist
YOUR TASKS AND RESPONSIBILITIES:
- Support internal stakeholders (i.e. Market Development, R&D, Regulatory Affairs, ) in the process of ordering & delivering vegetable seeds for demonstration, trials or registration purposes.
- Focus primarily on SEA&PK and KR/JP, including IN in the mid-term, backing up EMEA team members, and supporting & influencing colleagues outside of the team dealing with non-commercial order management (in CN).
- Based on provided forecast, analyze sourcing options, product availability and Phyto- eligibility to secure supply of sample seeds ; arrange for stock transfer orders, pre-packing, quotation, material creation / extension and exclusion lifting when necessary.
- Ensure day-to-day sample order management, such as but not limited to :
- Order creation in SAP and follow up of related Sales Force case
- Connect with supporting functions (e.g. T&C, Pricing, Master Data) to ensure maintenance and update of (internal & external) customer's data and smooth OTC process. Ensure maintenance of PowerApps ordering tool database
- Classification and compilation of relevant Country restrictions and documentation
- Communicate emerging issues promptly and ensure that team members are aware of potential risks and opportunities.
- Collaborate with Inventory, Plant Operations and Supply Chain teams to prepare, pack and ship the seeds, and communicate with stakeholders on expected timeframes, shipping schedules, documentation etc. Inform (internal / external) customers on order status and proactively provide updates.
- Track and follow up all open orders until fully closed to sender's / recipient's satisfaction. Receive, report and follow up Customer's Complaints related to sample shipments.
- Collect feedback, review lessons learnt and opportunities for enhanced services, constantly challenging the status quo, identifying bottlenecks and proposing solutions to improve customers satisfaction. Follow through with implementation and assessment of improvement initiatives.
- Use existing Dashboards to support main stakeholder on data visualization needs, by providing quotations/orders overview and updates, and ad hoc reports.
- Partner with Trade & Compliance Team to maintain updated customer's data in the GreenLight Teams site used to approve export documentation. Pre-approve documents for customer's screening based on country and customer import requirements. Support distributors in requesting Import Permits and Licenses needed to obtain seeds in country of destination.
WHO YOU ARE:
- Bachelors Degree, preferably in Logistics, Supply Chain or Business Administration
- 2+ years of relevant business experience focused on import-export or related fields
- English : Strong verbal and written communication skills
- Experience working with cross functional, cross-Country teams ; ability to communicate comfortably with people at all levels and backgrounds
- Demonstrate strong analytical, planning/prioritizing and decision-making skills, and an ability to respond to changing circumstances
- Proficient in Microsoft Office, operational knowledge of SAP and Sales Force
- Excellent customer service skills, highly organized and disciplined with acute attention to details
- Comfortable with autonomy and working in isolation, but also respect team environment
- Working knowledge of the Vegetables Seeds Industry is an advantage, but not essential.
- Accountability on assigned portfolio, and ability to ask for help.
