Job Overview
As an Executive Assistant at Kad Kokoa, you will provide comprehensive support to the CEO, focusing on follow-up work, preparing visual presentations, and managing the filing system. You will work closely with the founder and CEO to understand the business's intricacies and gradually take on tasks related to content creation, digital media management, and marketing strategy.
Key Responsibilities
- **Administrative Support:**
- Maintain accurate and up-to-date files, records, and documentation.
- Maintain schedule and follow up work internally for the CEO.
- Perform periodic audits of files and records to ensure all required documents are collected and filed appropriately.
- **Follow-Up Work:**
- Track all relevant information, data, action items, decisions, and deadlines during meetings to ensure projects stay on track.
- Remind team members of project deadlines and follow up on behalf of the CEO.
- Communicate effectively with all staff levels to gather insights and feedback.
- Promote collaboration between internal stakeholders to ensure consistency in the company's outputs.
- **Visual Presentation Preparation:**
- Prepare visually appealing presentations for internal and external stakeholders.
- Use tools like PowerPoint, Google Slides, and other design software to create professional presentations.
- Ensure presentations are clear, concise, and aligned with the company's branding and messaging.
- Incorporate visuals, charts, and graphics to enhance communication and engagement.
- **Filing System Management:**
- Establish and maintain an effective filing system for both paper and digital documents.
- Ensure that all documents are organized, labeled, and easily accessible.
- Regularly review and update the filing system to maintain efficiency and avoid clutter.
- Train staff on the proper use of the filing system and ensure compliance with organizational policies.
- **Content Creation and Digital Media (Future Responsibilities):**
- Gather photos and videos from shops, factory, and kitchen to tell the brand's story.
- Help in Creating and publishing engaging content for websites, social media, blogs, and other platforms.
- Collaborate with the marketing and creative teams to develop content that aligns with the company's goals and brand identity.
- Develop and maintain an editorial calendar to ensure consistent content production and timely delivery.
- **Brand Awareness and Marketing Strategy (Future Responsibilities):**
- Develop and implement strategies to increase brand awareness and customer engagement.
- Conduct market research to identify target audiences and trends.
- Create and execute marketing campaigns that resonate with the target audience.
- Collaborate with cross-functional teams to ensure consistent brand messaging.
Requirements and Qualifications
- **Current Role:**
- Associateâs degree in a related field required; a Bachelorâs degree is a plus.
- Prior related office experience preferred.
- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Proficient with Google Suite or Microsoft Office Suite or related software.
- Ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
