Job Description
Main Responsibilities:
- Support executive-level in a variety of administrative functions and coordination with managers for any topics or issues as necessary.
- Maintain executive's agenda and assist in planning appointments, board meetings, conferences etc.
- Perform secretariat duties in arrangements for company board meetings, executive committee meeting and general meetings for shareholders and liaison with shareholders and directors.
- Perform secretarial and administrative duties such as handling telephone calls, managing schedules and daily appointments, arranging meetings, recording minutes, translation.
- Correspondence with external parties, visitor management and arranging flight, accommodation and meal bookings.
- Organize management's filing and documentation effectively and maintain professionalism in handling of confidential and sensitive business information at all times on all matters.
- Maintain electronic and paper records ensuring information is organized and easily accessible.
- Attend meetings and keep minutes.
- Take minutes, check correctness and presentation before distributing and filing according to the supervisor's discretion.
- Ensure meeting minutes be dispatched/out within 48 hours.
- Ensure that monthly analysis and month end reports are finished on a timely basis.
- Work and coordinate with other departments to ensure that the responsible job of the department meets target and goals
- Maintain GM personal and company diary.
- Keep records of travel expenses and update travel schedule.
- Handle correspondence for all applications such as regret letter, customer complaint, inquiring, confirmation, contract and any reference.
- Act as Interpreter and translator when necessary
- Keep strictly all confidential matters related to the unit.
- Assist with the organization of Manager Meetings, outing and other associate activities.
- Perform other duties as assigned by supervisors.
Other Duties:
- Adhere to the company's employee rules & regulations.
- Attend and contribute to all training sessions, meetings and activities as required.
- Exercises responsible management and behaviour at all times, positively representing the MFG and The Coffee Club.
- Maintains strong, professional relationship with relevant business partners.
- Ensure high standards of personal presentation and grooming.
- Keep the office and working areas clean and tidy at all times.
Carry out any other reasonable duties and responsibilities as assigned
Qualifications
- Bachelor's degree in related fields
- Minimum 3 year experience in executive secretarial work with international companies
- Excellent language communication skills - both English and Thai
- Computer literate (Outlook, Word, Excel and PowerPoint)
- Effective telephone communication skills
- Internet and technology savvy
- Thai Nationality
