Overview
The Service Sales Administrator is responsible for providing comprehensive administrative support to the sales team, ensuring efficient service and excellent customer service. This role involves managing sales documentation including update Service Sales record and tracker, source and route qualified opportunities to appropriate sales executives for further development and closure, and order processing.
Duties and Responsibilities
Maintain and update the sales database with accurate customer and sales information.
Update service sales record and tracker.
Generate regular sales reports and provide data analysis to support strategic decision making.
Assist the service sales team with administrative tasks, including preparing quotes and processing orders.
Source new sales opportunities through install base follow-up and outbound calls and emails
Understand customer needs and requirements
Route qualified opportunities to the appropriate sales executives for further development and closure
Provide backup to Sales Support Administrator when required.
Managing contract and parts orders processing by timely and accurate processing of purchase orders.
Upon receiving purchase order from customer, procure required goods from factory, generate order acknowledge or proforma invoice with SAP B1 system and shared with customer within the targeted response time.
Liaise with factory logistic team to ensure goods are shipped to customer as per agreed shipping term, along with necessary documents for custom clearance.
Coordinate with service delivery administrator to deliver after-sale services as per customer requested schedule.
Serve as a central point of contact for coordinating sales between sales, service and other departments.
Facilitate effective communication and information flow within the sales team and across departments.
Experience
Some knowledge of electronics, compressor and mechanical systems
Experience in after-market sales in similar or related industry will be an advantage
Skills and Qualifications
Diploma in Business Practice with relevant experience in providing customer service to scientific/analytical instrumentation market.
Organized, meticulous, team player, excellent interpersonal communication and capable of building strong professional relationships at all levels.
Proactive, responsible, positive work attitude, exceptional time management skills, ability to properly prioritize tasks and work independently.
Clear understanding of common international shipping terms.
Strong data organising and managing skill
Proficient in Microsoft application such as words, power point and excel
Knowledge with SAP B1 Software would be beneficial.
